Board Member Requirements

As President of the Baltimore Chapter of APICS, the following duties must be performed:

  1. Provide leadership and guidance to the Board of Directors.
  2. Chair Board of Directors meetings. Provide a detailed agenda in advance of the meeting.
  3. Attend and lead the Professional Development Meetings.
  4. Attend special events, CP, National and Region activities. Send a representative when unable to attend.
  5. Keep a running list with the secretary of action items. Follow up with all members with open action items before the BoD meeting to determine status of open issues.
  6. Recruit new BoD members when an absence exists. Report to the BoD on all recruitment activity between BoD meetings, and report on potential candidates.
  7. Publish monthly a Presidents Message for the web page.
  8. Chair the PACE Awards Committee.
  9. Review with each BoD member the goals of each department to facilitate overall objective planning for the year.
  10. Appoint a Budget Committee to include President and VP Finance to establish budget to present to BoD.
  11. Appoint and serve on Nominating Committee.
  12. Coordinate succession in leadership with the Nominating Committee and BoD.
  13. Plan transition to the next President.
  14. Maintain an accurate job description for the position.

As the Vice President of Operations for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Confirm Treasurer brings checkbook to all events.
  2. Coordinate audio/visual equipment needed for speakers.
  3. Act as Custodian for Chapter equipment such as Microphone, Screen, & Manual Projector.
  4. Accept & monitor incoming telephone/Website registrations for PDM attendees.
  5. Book caterers for Plant Tours.
  6. Provide electronic maps and/or directions to venues to VP Communications.
  7. Distribute PDM Evaluation forms to every attendee.
  8. Summarize results of Evaluations and report at every BoD meeting.
  9. Provide input to Chapter budget and Strategic Planning processes.
  10. Create, adhere to, & monitor financial budget for operations.
  11. Create & submit timely submissions for Newsletter & Website publicity.
  12. Present/Distribute Operations report at every BOD meeting.

As the Vice President of Education for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Shall develop an annual Chapter education plan and budget for approval by the Chapter Board of Directors. The education plan will support the Chapters mission of providing quality CPIM course training to all members and non-members in the Chapters geography.
  2. Shall execute the education plan and budget and report on progress to the Chapter President and Board of Directors at least semi-annually.
  3. Shall recruit and develop certified instructors for all five CPIM courses.
  4. Shall work to insure the quality of Chapter education through the roster of instructors.
  5. Shall promote Chapter courses and seminars to APICS members, non-members, and companies within the Chapters geography. Shall assemble and make available to Chapter members and all other interested parties information concerning the APICS Certification Programs.
  6. Shall be responsible for all Chapter seminars, education programs, and workshops. Shall prepare an operating budget for all Education functions.
  7. Shall serve as liaison to community educational institutions to foster co-operative efforts to promote APICS’ educational mission.
  8. Shall determine and recommend appropriate donations to institutions to promote education, (i.e. – APICS Education & Research Foundation, local education institutions, etc.)
  9. Shall perform such other duties as directed by the President towards the attainment of the Chapter Goals.

In the event of the absence of the President, Vice President of Programs, and the Vice President of Membership, the succession shall fall to the Vice President of Education.

As the Vice President of Finance for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Manage the chapters chart of accounts. Receive and deposit all monies.
  2. Match expenses to budget items.
  3. Document yearly budget in Quick Books. (Program provided by the chapter)
  4. Create and maintain corporation reports and filings – Annual Chapter Report, Maryland Corporate Tax Report/Filing, 1099 for all instructors, and any others as necessary.
  5. Provide the BOD with financial statements at each BoD meeting
  6. Provide monthly performance to budget reports to each board member at the BoD meeting.
  7. Calculate cash flow projections.
  8. Create invoices for classes in session with the instructor supplied data.
  9. Maintain a payment method for chapter events.
  10. Attend transition yearly meeting.

As the Vice President of Communications for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Develop & maintain Web Site/Newsletter strategy, policies, and procedures.
  2. Be familiar with Copyright laws and maintain files of written permissions granted for reprints.
  3. Proofread all text before publishing. Format written articles, book reviews, graphics and photographs into web/newsletter pages.
  4. Format written articles, book reviews, graphics and photographs into Web/Newsletter pages.
  5. Determine resource requirements; provide input to Chapter budget and Strategic Planning processes.
  6. Create, adhere to, & monitor financial performance against Communications Budget.
  7. Maintain Email Distribution Database.
  8. Research advertising or publicity methods; approve copy and formats.
  9. Distribute Newsletters electronically by first day of every month.
  10. Present Web Site/Newsletter strategy at June transition meeting.
  11. Communicate closely with all board members to integrate effort.

As the Vice President of Membership for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Recruits and develops an effective membership committee to ensure enough resources for membership responsibilities.
  2. Inform Society of any changes affecting membership records (address, phone number, e-mail, company, etc.).
  3. Resolves issues concerning membership records, or membership processing at a member’s request.
  4. Leads programs to promote growth in the chapter’s membership, as well as membership retention.
  5. Greets guests and new members at all chapter functions.
  6. Monitors the chapter’s progress monthly and provides data for the chapter awards program, newsletters and web site.
  7. Compiles membership statistics for chapter and region use and for Passport program.
  8. Issue membership certificates to the new members with cover letters.
  9. Issues pins with cover letters for the membership anniversary of 5, 10, 15 and 20 years.
  10. Document Membership Plan, policies & procedures, Strategic Plan worksheets.
  11. Prepares and obtains approval for an operating budget for membership activities.
  12. Functions as an active member of the chapter board of directors to ensure that all chapter programs are compatible with the interest of membership.

As the Vice President of Programs for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Responsible for securing the speaker(s) and entertainment for the Professional Development Meetings, and other events planned by the chapter for the general chapter membership.
  2. Send out a confirmation letter to the intended speaker within one week of a verbal commitment. All details for a contractually binding agreement must be made on the acceptance letter. The letter should at a minimum establish any monies expected to exchange, policy on expenses.
  3. On a yearly basis the VP of Programs must submit a budget to the Board of Directors for Programs. On a monthly basis will present performance to date figure to the BoD about the budget. Any variances must be addressed and accounted for.
  4. There are many groups and individuals willing to speak at chapter events for little or no fee. Speaker fees of up to $100.00 may be approved by the Vice President of Programs. The budget must be pre approved before approval is allowed. Any fee above $100.00 must be approved by a majority of the BoD.
  5. Assist the speaker in making arrangements for transportation, both air and ground, hotel reservations, and other details that may come up.
  6. Provide to the Board on a monthly update on all Programs for the chapter. This report will be presented on the Master PDM Calendar on the web site.
  7. All BoD members are welcome to recommend speakers and events for the Chapter to consider. However, it is up to the Programs VP to confirm all speakers and make arrangements. In the event the VP is unable to perform this task the President has the authority to make the arrangements for the chapter using the appropriate techniques as outlined above.
  8. Buy food for BoD meetings or make arrangements.
  9. Reserve PDM event restaurants and locations.
  10. Book caterers for plant tours.

As the Vice President of Recording Secretary for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Shall keep an accurate record of the business proceedings of Chapter and BoD meetings and be responsible for the distribution of these minutes in a timely fashion.
  2. Shall be responsible for the preservation of the Chapter Records containing minutes of meetings, correspondence, and documents.
  3. Shall determine whether a Board quorum is present at any BoD meeting.

As the Vice President of Administration for the Baltimore Chapter of APICS, the following duties must be performed:

  1. Responsible for the Chapters Passport documentation and submission.
  2. Provide BoD members with list of documentation needed for Passport for their area.
  3. Obtain and supply BoD members with Chapter letterhead.
  4. Shall perform such other duties as directed by the President towards the attainment of the Chapters goals.
